TCSAR Foundation Seeks Development Administrator

Teton County Search & Rescue Foundation is seeking to hire a Development Administrator to join our dynamic, hard-working team. The ideal candidate will have a passion for TCSAR Foundation’s mission of supporting TCSAR volunteers and help strengthen the Foundation’s fundraising program. 

Position Summary

The Development Administrator serves as the operational backbone of TCSAR Foundation’s fundraising program.

This role manages all fundraising administrations, including:

  • Donor data entry, integrity and tracking

  • Gift acknowledgements

  • Donor communications logistics

  • Event coordination and execution

  • Administrative duties as assigned

The Development Administrator supports the Executive Director in leading major donor strategy and solicitations while independently managing fundraising systems and donor experiences. This is an ideal role for someone who thrives on organization, detail, hospitality, and bringing complex events to life behind the scenes.

Key Responsibilities

Fundraising Administration (Core Function)

  • Manage donor database (gift entry, pledges, reporting, tracking)

  • Generate and send timely acknowledgement letters

  • Track restricted gifts and donor intent

  • Manage donor recognition lists and annual reporting data

  • Coordinate donor mailings and campaigns

  • Oversee donor gift inventory and fulfillment (apparel, event gifts, etc.)

  • Maintain accurate donor records and confidentiality

  • Prepare reports for Executive Director and Board

  • Work with Operations Manager on 990 donor tracking

  • Check processing and bank deposits

Event Management & Donor Experience 

  • Lead planning and execution of key fundraising and donor events, including Old Bill’s Fun Run, major donor appreciation events, and donor cultivation experiences (e.g., backcountry ski days, SAR field experiences, educational outings)

  • Coordinate venues, vendors, guest lists, and RSVPs

  • Develop and manage event run-of-show logistics

  • Oversee staff and volunteer coordination during events

  • Track event budgets and expenses

  • Manage post-event follow-up and stewardship

  • Support additional community outreach events as needed

Executive Support in Development

  • Prepare donor briefing documents

  • Track donor cultivation plans

  • Support major gift follow-up

  • Assist with board Development Committee materials and attend meeting as necessary

We are a small team of six. Everyone carries weight. Everyone supports each other. This is not a remote position. The Foundation’s office is located in the TCSAR hangar.

Qualifications

Preferred:

  • 1–3 years experience in nonprofit development, administration, and/or event management

  • Strong database management skills (CRM experience required; Kindful or similar preferred)

  • Exceptional organizational skills

  • High attention to detail

  • Strong written communication skills

  • Ability to manage multiple projects simultaneously

  • Comfortable working occasional evenings and weekends for events

  • Alignment with rescue and community mission

Bonus:

  • Experience with fundraising campaigns

  • Event production background

  • Knowledge of the Jackson philanthropic community

Compensation

  • $55,000 plus annual performance bonus up to $10,000

TCSAR Foundation Initiates Search for New Executive Director

The Teton County Search & Rescue Foundation (TCSARF) has begun the process of hiring its next Executive Director.

The Foundation is a nonprofit that supports Teton County Search & Rescue (TCSAR) volunteers through direct support, community education, and advocacy. Together, TCSAR and the Foundation create a public/private partnership that works to keep Teton County residents and visitors safe in the backcountry 24 hours a day, 7 days a week, 365 days a year. 

This is an opportunity to build on a period of tremendous growth and accomplishment—including the recent completion of the $7.25 million capital campaign to secure a year-round SAR-dedicated helicopter—and lead the Foundation into its next chapter.

We're Hiring! TCSAR Foundation Seeks Operations Coordinator

Teton County Search & Rescue Foundation is seeking to hire an Operations Coordinator to join our dynamic, hard-working team. The ideal candidate will have a passion for TCSAR Foundation’s mission of supporting TCSAR volunteers and backcountry safety, and be able to successfully manage office records and financials for our busy 501(c)(3) nonprofit. 

The Operations Coordinator works in collaboration with the entire staff at TCSAR Foundation to develop plans and implement policies in the financial and general operations realms. Qualified applicants should be able to maintain efficient and effective systems to increase productivity of the TCSAR Foundation.

This is a full-time position based at the TCSAR hangar in Jackson, Wyo. The job comes with a competitive salary and a generous benefits package that includes a health care stipend, PTO, ski pass benefits, and retirement. The office is friendly and fun and staffers work hard to support each other and the TCSAR volunteers.

The Operations Coordinator for TCSAR Foundation will oversee the smooth operation of office administration, including:

Office Management 

  • Manage office records and paperwork directly in line with requirements for state and federal policies for 501c3 management. 

  • Manage the info@ email and office phone number, responding on behalf of TCSARF.

  • Handle all QuickBooks & banking reconciling. Oversee staff credit cards, assure bookkeeping is accurate and expenses are correctly categorized.

  • Banking oversight including transferring appropriate amounts into various accounts, managing account balances as needed.

  • Manage all on site administrative financial duties including invoicing, reconciliation, and check requests. This requires close coordination with TCSAR Foundation external finance services.

  • Work closely with the ED to coordinate HR-related activities, including benefits. 

  • Assist in preparing for committee and board meetings, board retreats, and onboarding of new board members.  

    • Manage Basecamp Board Documents folder. 

    • Assist with communications with board and various committee members. (Take notes at meetings, manage subscriptions, etc) 

Fundraising and Communications  

  • Assist with prospect research, donor cultivation, and grant preparation. 

  • Aid in event planning, set up, and managing required services as necessary.

  • Manage donor packet information in coordination with the Donor Relations Coordinator and Communications Director. 

  • Work with the Communications Director to maintain the BC Zero and TCSAR website and email platforms.  

  • Document all grant requests, applications, timelines and grant reports.
