TCSAR Foundation Initiates Search for New Executive Director

The Teton County Search & Rescue Foundation (TCSARF) has begun the process of hiring its next Executive Director.

The Foundation is a nonprofit that supports Teton County Search & Rescue (TCSAR) volunteers through direct support, community education, and advocacy. Together, TCSAR and the Foundation create a public/private partnership that works to keep Teton County residents and visitors safe in the backcountry 24 hours a day, 7 days a week, 365 days a year. 

This is an opportunity to build on a period of tremendous growth and accomplishment—including the recent completion of the $7.25 million capital campaign to secure a year-round SAR-dedicated helicopter—and lead the Foundation into its next chapter.

We're Hiring! TCSAR Foundation Seeks Operations Coordinator

Teton County Search & Rescue Foundation is seeking to hire an Operations Coordinator to join our dynamic, hard-working team. The ideal candidate will have a passion for TCSAR Foundation’s mission of supporting TCSAR volunteers and backcountry safety, and be able to successfully manage office records and financials for our busy 501(c)(3) nonprofit. 

The Operations Coordinator works in collaboration with the entire staff at TCSAR Foundation to develop plans and implement policies in the financial and general operations realms. Qualified applicants should be able to maintain efficient and effective systems to increase productivity of the TCSAR Foundation.

This is a full-time position based at the TCSAR hangar in Jackson, Wyo. The job comes with a competitive salary and a generous benefits package that includes a health care stipend, PTO, ski pass benefits, and retirement. The office is friendly and fun and staffers work hard to support each other and the TCSAR volunteers.

The Operations Coordinator for TCSAR Foundation will oversee the smooth operation of office administration, including:

Office Management 

  • Manage office records and paperwork directly in line with requirements for state and federal policies for 501c3 management. 

  • Manage the info@ email and office phone number, responding on behalf of TCSARF.

  • Handle all QuickBooks & banking reconciling. Oversee staff credit cards, assure bookkeeping is accurate and expenses are correctly categorized.

  • Banking oversight including transferring appropriate amounts into various accounts, managing account balances as needed.

  • Manage all on site administrative financial duties including invoicing, reconciliation, and check requests. This requires close coordination with TCSAR Foundation external finance services.

  • Work closely with the ED to coordinate HR-related activities, including benefits. 

  • Assist in preparing for committee and board meetings, board retreats, and onboarding of new board members.  

    • Manage Basecamp Board Documents folder. 

    • Assist with communications with board and various committee members. (Take notes at meetings, manage subscriptions, etc) 

Fundraising and Communications  

  • Assist with prospect research, donor cultivation, and grant preparation. 

  • Aid in event planning, set up, and managing required services as necessary.

  • Manage donor packet information in coordination with the Donor Relations Coordinator and Communications Director. 

  • Work with the Communications Director to maintain the BC Zero and TCSAR website and email platforms.  

  • Document all grant requests, applications, timelines and grant reports.

Job Opening: Donor Relations Coordinator for TCSAR Foundation

The Teton County Search & Rescue Foundation is looking to hire a full-time Donor Relations Coordinator to join its dynamic, hard-working staff in Jackson, Wyoming.

TCSAR Foundation is a 501c3 nonprofit whose mission is to support Teton County Search & Rescue volunteers through direct support, community education and advocacy. The Foundation’s office is in the TCSAR hangar located at 300 S. Batch Plant Rd., where culture includes dog-friendly office space, wearing your favorite SAR shirt to work, and dropping everything to move a truck or two when a call for service comes in.

The Donor Relations Coordinator works directly with our amazing donors who keep us operating at 100 percent capacity. Detail-oriented, tech savvy, event experience and positive attitude are all musts for this position. With only five people and over a million dollars to raise each year, the Foundation demands everyone to pitch in to make this operation a success. 

The ideal applicant will be a team player who understands backcountry culture, is committed to the Jackson Hole community and doesn’t mind emptying the dishwasher. Though previous experience in nonprofits and/or fundraising is preferable, it is not required depending on the applicant.

Preferred qualifications: 

  • Previous nonprofit experience in Jackson, Wyoming, or surrounding areas.

  • Dedicated to the mission of TCSAR Foundation and backcountry safety.

  • Technical savviness and an aptitude to learn (current applications include Little Green Light, Quickbooks, Dropbox, Google Drive, Microsoft Office, Slack, and Basecamp).

  • A willingness to put yourself out there. You will be working with donors, TCSAR volunteers and the community. This is a forward-facing position on many days.

  • Event guru. You’ll be working with caterers, contract staff, sponsors, and others to create professional events, from small intimate donor gatherings to large 500-plus attendee events like WYSAW.

  • Comfortable with corporate sponsorships. We need big partnerships to make sure our volunteers are outfitted.

  • Detail-oriented, precise and committed to excellent work. Keeping track of all of our donors' information requires laser focus and attention to detail.

POSITION TITLE:  Donor Relations Coordinator (DRC)

DIRECT SUPERVISOR: Executive Director

Summary: The DRC works closely with the Executive Director and Communications Director to meet the goals of the organization. The DRC is primarily responsible for donor relations management and administration. 

Development

  • Direct the annual fundraising mailings with assistance from the ED and CD.

  • Write/print/send letters of solicitation and gift acknowledgement.

  • Enter gifts and pledges in a timely manner.

  • Analyze database information to identify fundraising opportunities.

  • Enter, update and maintain accurate donor information.

  • Prepare and distribute gift and pledge reports to ED and Board of Director members.

  • Assist the ED in major fundraising programs. 

  • Manage Old Bill’s Fun Run Committee assignments.

Administration 

  • Manage Little Green Light entries, reports and updates. 

  • Assist with Quickbooks reconciliation and financial reports.

  • Maintain Donor Materials (stickers, stationary, stamps, etc.) and help with general office administration. 

  • Manage grants calendar and when appropriate lead grant writing efforts. 

Major Special Events

  • Work with ED and CD to plan fundraising and major events throughout the year.

  • Coordinate/act as point of contact for caterers, event site managers, etc. 

  • Collaborate with ED to identify volunteer needs and staffing.

  • Coordinate with CD to plan marketing and outreach for all fundraising and team events.

  • Create and maintain a fundraising events calendar.

  • Assist ED and CD with expenditure reconciliation.
